            Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Tuesday June 6th 2023, at 2.30pm following on from the Events meeting at 1.30pm   

              in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.

These are draft minutes until approved at the next Committee meeting scheduled for July 11th 2023 at 2.30 pm 2023.

        1. Members Present:

           Cllr Sue Simpson (Chair), Mrs A Murgatroyd (Vice Chair) Committee members: John Seymour, (JS),Cllr Mick Rust (MR) Cllr A Proctor, (AP) Mrs Jan Ward (JW), Mr Trevor Ward (TW), Cllr Barry                   Adams (BA)

          Clerk/Note Taker – Mrs M Clarke.                                                 

2. Apologies

    Cllr P GarradCllr C Bradford, Cllr C Alexander and Cllr I Hyde.                                              

3.Declarations of Interest        

    No interests were registered.                                                        

4. Minutes of the Annual Meeting                  

    The minutes were read and agreed – Proposed by Cllr AP and Seconded by Cllr JW – Unanimous  vote to resolve and accept as a true record.

5. Finance report

 Lottery funding: The current balance for the hall stands at £7750.00 with pending payments to Gala Tents, (Marquee), Committee (Coronation Lunch), Bouncers4U (Bouncy Castle), CopyStat      (Flyers/posters), MultiMatts (Flooring) and S Bogg (Lighting) total £2938.71 leaving a balance of £4811.29.

Hall Budget: £2000.00 – no payments made or pending.

£300.00 has been banked for car boot sales for 2023.

Lunch Club had receipts of £77.00 for the raffle in April (no lunch in May due to holidays).        

6. Working Groups

Lunch Club – next lunch date is Wednesday June 14th.

Car Boots – The car boot goes from strength to strength with all the credit to Cllr CB for the promotion and organisation. It is contributing significantly to Community funds. The increase of traders and customers, however, brings with it the need to monitor the safety aspect with children going “free range”. Parents/responsible adult signage could be considered – or a simple verbal advice as the traders and customer arrive. Equally some kind of monitoring in the Hall to prevent taps being left on and “exploration” of the hall facilities. To consult with Cllr CB on any suggestions /ideas that could be adopted.   

7. The Village Show.     

   The notes from the earlier Events Committee are attached as Appendix A – the Chair asked if the Committee were happy to accept the recommendations – Proposed AP and seconded JW –   Unanimously resolved to adopt all recommendations and guidance.       

8. Correspondence

 Cllr MR had received confirmation from MR Worth he would like to offer £750.00 as a contribution to the floor covering in the Marquee. Committee expressed their appreciation and happily accepted. Clerk to liaise with Mr Worth to arrange a BACS payment and to offer the appreciation and thanks of the Committee.

   It was suggested Mr Worth be contacted with an invitation to open the Village Show – All in agreement.

9. Future Meetings.

The date agreed for the next meeting is Tuesday July 11th at 2.30 to follow on directly from the Events meeting at 1.30pm

The Chair SS thanked everyone for attending and their input and closed the meeting at 3.00pm.
