Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Monday October 2nd, 2023, at 2.00pm in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting on the 16th October 2023.
The Meeting was Chaired by Committee member Mrs J Ward in the absence of the Chair and Vice Chair – nominated by JS and agreed by all.
1. Members Present:
Cllr A Proctor, (AP) Cllr M Rust (MR), Cllr C Alexander, (CA) Cllr B Adams (BA) Dr C Shrubsole (Dr.CS) Committee members Mrs Jan Ward (JW), Mr Trevor Ward (TW), and John Seymour
Clerk/Note Taker – Mrs M Clarke.
2. Apologies
Cllr A Murgatroyd, Cllr C Bradford and Cllr I Hyde.
3.Declarations of Interest
No interests were registered.
4. Minutes of the Meeting held September 7th, 2023
The minutes were read and agreed – proposed by MR and Seconded by AP
All resolved to approve.
5. Finance report
Monies from the Show –
Tombola - £109.00: Bric-a-Brac- £16.10: Show entries £26.80: Raffle: £249.00: Donations:£32.65
Lottery balance - £1263.27
Hall Budget balance - £1343.00
6. Working Groups:
Lunch Club – next lunch date is October 11th.
September surplus £177.45
Tabards to be ordered – Cllr AP has in hand.
A request for Volunteers to be posted on the hall Facebook page – clerk to arrange.
Arrangements are in hand for the birthday party October 21st.
7. The Village Show.
The notes from the Events Committee for the final week leading up to the 17th are attached as Appendix A .
The day was reviewed and overall, a success with lessons to be learnt and taken forward to 2024 – notes of comments have been recorded and will be referred to in future Show arrangements.
It was proposed a bottle of wine be purchased for the assistance given by David Broome with the tables – all in favour and agreed. TW will deliver with the Committee thanks. Additionally it was agreed to purchase a bag of feed for MR W Hatchman for his assistance in the erection of the marquee and delivery/collection of gazebos. All agreed – Clerk will arrange.
Shields have to be engraved – Clerk will arrange.
Final vouchers/certificates to be delivered – Clerk will arrange.
8. Future Events:
Village Show 2024 and Christmas 2023 were discussed.
Tea with Santa idea to be explored – contact to be made with Sam from Queen’s Estate
Village Show 2024 to be an agenda item for the next meeting – date and plans to be set in motion.
An Event management template was passed round for thoughts on use in future events – very well received and agreed to adopt for all events which will have the advantage of creating a calendar of the Committee’s activity.
9. Next Meeting.
The date agreed for the next meeting is 16th October at 2.00pm
The Acting Chair JW thanked everyone for attending and their input and closed the meeting at 15.10.
