Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday October 10th at 10.00 am in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.

These are draft minutes until approved at the next Committee meeting on Friday November 7th @ 10.00am.

Public – 3 members of the public were in attendance to receive their Winner’s Shields from the Show – presented to Babs Borrill and Brian Hunn by the Hall Chair as the overall winners in the Homecraft and Produce sections – Congratulation to both winners for their wonderful entries – and Well Done....look forward to seeing you in 2026.

1. Members Present:

Jan Ward (JW - Chair), Cllr M Rust (Vice Chair - MR), Cllr Trev Ward (TW), Cllr P Garrard (PG); Committee Member Elaine Baker (EB); Committee Member D Kettleborough, (DK), Committee Member Bill Hatchman; Clerk/Note Taker – Mrs M Clarke.

Apologies were received and accepted by all members                                             

3. Declarations of Interest – No declarations were declared.                    

4. Minutes of the Committee Meeting held Friday September 6th 2025

The minutes of the Hall Committee meeting held Friday 4th August 2025 were read and agreed as a true record – proposed by Cllr MR and Seconded by Cllr TW – all resolved to approve.   Chair JW signed the minutes.

5. Events Planning

Lunch Club – next date is Wednesday 15th October with set up planned for Tuesday 14th.

Agreement to advertise for sale the 3 hostess trolleys at circa £25.00 per item.

Consideration given and agreed to purchase a small chest freezer to store the donated fruit – funded from the social isolation grant. Proposed Cllr TW, Seconded Cllr EB – all agreed to resolve. Container to be cleared and tidied to create space – date agreed as Friday 17th @10.00am

Hot cupboard damage to be reported by clerk to supplier and ask for recompense.

Tea with Santa – date agreed as Sunday 21st December – Tea from 2-3 with Santa arriving around3.00 for gifts and followed by Tree light switch on. Supported by Platform and Tesco. Marketing and promotion by newsletter and facebook/posters. Maximum of 40.

Christmas Tree to be ordered with delivery end of November – clerk to arrange

Christmas Lunch at Woodthorpe – date confirmed as Wednesday 17th December 12.30. Menus to hand – prebooking required with a deposit of £5.00 per person – funded with a contribution from Cllr MR Community Fund and The Poor Lands charity – shortfall from social isolation grant.

Village Show 2026 – Date agreed as Sunday 30th August with a budget of £5k to be put forward for the Council budget planning in November. Revised site plan and other suggestions/ideas presented by CMs DK and BH to include sourcing volunteers, better signage, human fruit machine in partnership with Young Farmers, children’s games area, a shift from cash raffle prizes to show entry prizes to encourage entries, revised schedule, full bar and opening earlier at 12.00 noon – all proposed, agreed and resolved.

Remembrance Service – accompanied by a bugler and the standard bearer

Wainfleet St Mary Parish Church - Saturday November 8th – 10.30 for service at 11.00 with Father Paul.

Wainfleet All Saints Church – Sunday 9th November – 10.30 for 11.00 Service

Wainfleet Market Place – The Buttercross – Tuesday 11th November – 10.30 for 11.00 service.

The Carol Service is confirmed 1st Jan for 2pm with Father Aiden.

6. Clerk and Finance report

Clerk’s Report October 2025

The meter works, but readings can't be sent for the first 90 days and still require a manual reading....no further contact so hopefully automatic readings have resumed.

Gas Engineer requested to attend and service the boiler and repair the pipe reported on one of the cylinders....following up for a date.

Friendship Group – funding bid has gone into support. Contact from Melanie Neal – Co-op Engagement Officer has suggested we put in a request to Wainfleet Co-op for £250.00 for the friendship group but submitted by the Hall Committee to purchase craft materials and refreshments.

This has been submitted 9th October.  She has also donated £15.00 which has paid for the recent meeting in September. Wendy B has also offered some funding if Mcarthy Stone turn our application down. Nothing heard as yet.

ELIF Bid from the Council has been submitted for flooring, gazebos and tables – decision by the end of November we hope.

Young Farmers have started to book Tuesdays again – New members night is Tuesday 7th October....there is likely to be pizza I believe...so note to all – the Friendship Group has advised the bins are quite often full and the carpets in need of a hoover....and tables in need of a wipe.... I will have a word with Clare this Tuesday but maybe an eye to check everything over at the end of the evening and to ensure bins have been emptied is advisable.

The Social Isolation grant which has in the past been managed by Boston Communities has now passed to the care of East Lindsey. As with Boston each group can apply for up to £2000 and the fund is open for new applications – for this year we have had our allocation – but there is no reason why in the early part of the New Financial Year we can turn our thoughts to applying early to fund the Christmas lunch at Woodthorpe for 2026.

The photos picked for the calendar at the last meeting have all gone forward and a proof copy is ready for approval.

The calendar proof was circulated with approval to print at £3.30 per copy and as ale price of £6.00 – 100 to be ordered. Proposed Cllr TW, Seconded CM BH – all agreed to approve – clerk to arrange.

CM BH requested to leave at 11.45 – Chair thank CM BH for his contribution

7. Correspondence – Advice from AWA water leak – to be monitored and followed up as required.

8. Date of next meeting – Friday November 7th at 10.00am.

The Chair thanked everyone for attending and their input and closed the meeting at 12.00 noon.
