Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Monday 4th August 2025 at 10.00 am in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.

These are draft minutes until approved at the next Committee meeting on Friday September 5th @ 10.00am.

1. Members Present:

Jan Ward (JW - Chair), Cllr M Rust (Vice Chair - MR), Cllr Christine Alexander (CA); Cllr Trev Ward (TW), Committee Member C Wright (CW); Committee Member Elaine Baker (EB); Committee member D Kettleborough, (DK), Committee member W Hatchman (WH); Mrs S Kettleborough (Volunteer) Clerk/Note Taker – Mrs M Clarke.

Guests – Mr J Seymour, Mrs P Butler

   Apologies were received and accepted by all members                                                

3. Declarations of Interest - Cllr MR declared an interest (non-prejudicial) in item 5 – RBL Attendance - forthcoming plans for VJ Day                     

4. Minutes of the Committee Meeting held Friday 29th June 2025

The minutes of the Hall Committee meeting held Friday 29th June 2025 were read and agreed as a true record – proposed by Cllr TW and Seconded by Cllr MR – all resolved to approve.           

5. Events Planning

VJ Day Service – Friday 15th August 2pm.

Final arrangements for the commemoration were agreed with an Order of Service within a commemorative card - Plaque laying to be followed by tea and cake in the Hall. Agreement reached to meet at 1pm to set up with invite to WASTC to arrive for 1.45. Mrs PB thanked all for the invite and left the meeting at 10.20

Lunch Club – Next date is Wednesday 13th August with sausage and mash on the menu. Proposal to introduce a deposit scheme to cut down on waste of £2.50 per person to secure a place with the balance of £5.00 payable on the day of the Lunch The deposit would be forfeit if a no show with no advice before the day of the lunch- i.e the Tuesday. Cllr CA to draft explanatory memo for all to be handed out at the next Lunch Club. Proposed Cllr TW, Seconded Cllr CA. All agreed unanimously to resolve.

Guest Mr JS thanked all for the invite and left the meeting at 10.30.

Village Show

Guest Mr I Hyde joined the meeting at 10.30 to discuss the photo judging. Agreement to meet 10.00 Friday 22nd August to agree the finalists – Clerk will then have copies printed and these will be placed on the show board Friday 29th August – Cllr CA will arrange – 10.00 start. Stickers will be to hand for voting. Posts to go out on FB informing of judging date followed by who the finalists are – clerk to arrange.

Judge has been appointed for Dog Show – 3 classes to run from 1.30 – Best Male, Best Lady and Waggiest Tail - £1.00 entry – Purple rosette to the winners with a pack of dog treats - clerk to post on FB

Judges for Classic Cars – classes will be Judges Favourite and Oldest Vehicle – 3 scrolls – (each judge has a favourite) plus the oldest. SK will create – (thank you Sandra)

Clerk to confirm horses will be moved by Saturday morning – 30th August.

Judges for Gardens and Sunflowers (TW and DK) to judge with a scroll for each winner – SK will create.

Rock Painting – Committee agreed to donate £100 to cover rock costs along with £40.00 to Chair to cover ink costs for produce competition printing – proposed Cllr TW, Seconded CM WH.

Raffle Prizes – several good quality prizes including addition of tickets from Boston Bowls. Agreed First prize remains at £100.00 cash with all other prizes coming from those donated.

Tombola – all contributions received with thanks – currently about 60 – aiming for 100.

Guess the weight of the Cake – (Fruit cake), Teddy and sweet jar all in hand with CM EB and CM CW.

CM WH offered to act as Auctioneer- accepted with thanks.

6.Clerk and Finance report.

Clerk’s Report August 4th 2025

Smart meter has been replaced so no further meter readings required – however.....a hiccup last month meant a manual reading was required. The meter is confirmed as working but readings cannot be sent for the first 90 days.....

“25” year Banner overlays are collected – bannets all posted up

TEN Licence submitted

Rosettes are ordered - insets will be ordered once rosettes are here to be sure the size is right.

Parking Assistance agreed

A proposal was put forward to obtain cost of replacing the carpet in the Hall with a laminate flooring and to apply for funding through the Grass Roots initiative – proposed Cllr CA and seconded Cllr TW – all resolved to approve. Two members to review supplies available and arrange a quote for the next meeting to enable the bid to be submitted before the grant cut of date in October.

A further proposal was put forward to request a grant of £500 to fund the New Friendship Club Hall Hire for the first 12 months – Proposed Cllr CA, Seconded Cllr MR – All resolved to approve. Clerk to arrange application and submit.

7. Correspondence

Nothing that isn’t already covered in the Agenda.

8. Agenda items for September meeting – to be advised to the Clerk and received by Monday 1st September.

9. Date of next meeting –   Show Meeting – 22nd August to follow on from photo judging
