Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday 11th April 2025 at 10.00 am in the Community Hall, St Michael’s Lane,
Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting on Friday May 16th @ 10.00am.
1. Members Present:
Jan Ward (JW) (Chair), Cllr M Rust Vice Chair (MR), Cllr C Alexander, (CA), Cllr Trev Ward (TW), Cllr P Garrard (PG); Committee Member C Wright (CW); Committee Member E Baker (EB); Mrs S Kettleborough (Volunteer) Clerk/Note Taker – Mrs M Clarke.
2. Apologies - Cllr PA Proctor, Cllr Dr Shrubsole, Cllr I Hyde and Cllr M Rendall.
Apologies were received and accepted by all members
3. Declarations of Interest - Cllr MR declared an interest (non-prejudicial) in item 6 – RBL Attendance at the VE Day Beacon.
4. Minutes of the Meeting held Friday February 7th 2025
The minutes of the meeting held Friday 7th March 2025 were read and agreed as a true record– proposed by Cllr CA and Seconded by Cm EB– all resolved to approve.
5. Clerk and Finance report.
Clerk’s Report April 11th 2025
The Friendship Club as part of Age UK Lindsey was unable to meet Wednesday last whilst a 30-day period of consultation into viability is undertaken.
Outer Dowsing funding – planting in Play Area completed – first stage of fence painting completed with thanks to all willing hands who helped – plaques have been fixed to planters to show funding from Outer Dowsing – update and photos contained in Newsletter.
Newsletter has gone to print.
Show schedule has gone to print.
Insurance quote rec’d for beacon event
Film Night will be promoted this week to fill remaining seats (25)
TENS licence received (£21.00)
Request for leave – Monday 28th April; Thursday 22nd May; 3rd week in September and (to attend a wedding) Monday/Tuesday 13th/14th October – which would be the scheduled date for a council meeting – could it be rescheduled to Monday October 6th please?
Just a reminder - Annual Committee meeting requires a date to be agreed - Annual Parish and Council Meeting is scheduled for Monday May 19th
Elections on May 1st will require the hall to be opened at 6.00am and closed at 10/10.30 pm.
Young Farmers have requested booking the hall Tuesday April 15th and 27th – if anyone available to open/close – if not I can be there.
They also would like to take part in the Sunflower competition – do we have any seedlings just yet?
And have offered a litter pick for the village – date to be agreed.
And a thought reference fence painting – could we submit this for a PayBack scheme project?

6. Events Planning;
Lunch Club – Date is 16th – set up 9.00 am (YF In the previous evening)
VE Day Thursday 8th May - Task list created and shared – VE Day
Beacon – in hand
Village Tea Party – Flyer agreed as proof – no flyers but posters locally
Themed Music and screen to display iconic photos of VE Day
Speakers/CDs all in hand -Cllr CA
Tommy silhouette to be loan requested by Cllr MR from contact
Followed by Beacon lighting and the tribute at 9.30 – To be read by both WASTC and WSM and RBL– Cllr WH from WASTC to be asked to read All Saints tribute following the confirmation Cllr S Mitchell is away and unable to take the invitation up - clerk to advise invitation to WASTC.
Additional reading penned by RBL to include the names of the fallen
No bar currently – invite Event Box if available (attended the Village show last year).
Memorial stone in hand for VE day (and also VJ Day in August with a memorial service to mark) Cllr CA and Cllr IH will create both flag stones – all in hand.
VE Day flag has been purchased and delivered
Lamp of Peace purchased – delivery day this week

Request Cake donations through FB – clerk to arrange
Risk assessment and TENS licence completed. Insurance quote received and agreed – clerk to process
To request Cllr WB if she can arrange attendance of FARS – as last year for D Day.
To request BA if he can assist with marshalling – other volunteers DK and ST
Final meeting agreed Friday 2nd May to confirm all arrangements in situ.
Meet at 2pm on the 8th to prep all food etc and hall
Village Show – Sunday 31st August - Task List created and shared – Village Show
Schedule with new classes submitted for print.
Sunflower competition - Young farmers are joining in.
Clerk to obtain cost of banner date update overlay – requested but no response yet
Gavin as M of C contacted – confirmed as attending - £50.00 deposit paid and received – receipt now received
Classic cars – Cllr MR – discussion on best place to locate – see update on field lease in Council minutes Monday 14th 2025
Parking responsibilities etc to be confirmed nearer the day
Photo competition already running.
Chair has spoken with Mr J Seymour re vintage games for raising of funds for the Hall as requested by the community- other games can be purchased if required....include guess the weight of the cake, how many sweets in the jar – OD to bring their game – Human fruit machine – addl hands will be required – contact the volunteers who completed the survey.
Marquee – Erection date to be agreed after VE day celebrations
Additional joint event with the Mums Club
Children’s Film Night over Easter –Maximum of 25 – 10 definite - clerk will purchase appropriate number of eggs once numbers are confirmed. Speakers in hand with Cllr CA.
