Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday September 5th 2025 at 10.00 am in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.

These are draft minutes until approved at the next Committee meeting on Friday October 10th @ 10.00am.

1. Members Present:

Jan Ward (JW - Chair), Cllr M Rust (Vice Chair - MR), Cllr P A Proctor (AP), Cllr Christine Alexander (CA); Cllr Trev Ward (TW), Committee Member C Wright (CW); Committee Member Elaine Baker (EB); Committee member D Kettleborough, (DK), Clerk/Note Taker – Mrs M Clarke.                      

2. Apologies - Cllr M Rendall; Cllr P Garrard; Committee Member W Hatchman, Volunteer S Kettleborough.

Apologies were received and accepted by all members                                                    

3. Declarations of Interest – No declarations were declared.                          

4. Minutes of the Committee Meeting held Friday 4th August 2025

The minutes of the Hall Committee meeting held Friday 4th August 2025 were read and agreed as a true record – proposed by Cllr CA and Seconded by Cllr TW – all resolved to approve.          Chair JW signed the minutes.

5. Events Planning

Lunch Club – next date is Wednesday 17th September – Chicken Casserole with around 45 bookings currently.

Review of VJ Day Service – Friday 15th August 2pm – very positive feedback. Special mention made of the plaques – a well-attended and supported event.

Village Show – In brief a very good event again – Wednesday 10th September at 3pm agreed for full de-brief and bullet points invited from all for the 2026 Show. Date for 2026 show provisionally agreed as Sunday 30th August but with consideration to amend if required. Thank you cards to be sent to all the supporters/sponsors. Photos also to be reviewed for 2026 calendar production.  - clerk to check costs of production for 2026.

Christmas – Tea with Santa – date Sunday 7th December – to approach Tesco for assistance – light switch on after Tea....

Christmas Lunch at Woodthorpe – agreed to arrange – clerk to check date – Wednesday 17th December and costs – to source funding if possible. Clerk to follow up.

Carol Service with Father Aiden – agree for 1st January at 2pm with tea and cake to follow.

6. Clerk and Finance report

Clerk’s Report September 5th 2025

The meter works, but readings can't be sent for the first 90 days and still require a manual reading.

Village Show went very well – weather held – and everyone had a good day.....Show Team however are pooped – and moving slower than the norm.

Total monies raised were just over £800 with addl from earlier pitch reservations and £300 as a support grant from Cllr WB. Special thanks to Cyd for manning the bar at short notice.

Gas Engineer requested to attend and service the boiler and repair the pipe reported on one of the cylinders.

Quotes have been sourced for gazebos – in progress for the new flooring and tables. Grant application to be completed and submitted before deadline of October 10th.

Friendship Group is up and running – funding bid has gone in to support.

ELIF funding bid is being finalised. Quotes are received for Gazebos, flooring and tables.

Social Isolations funds will be utilised for purchases of Hot cupboard and air fryers – Cllrs JW and AP will purchase.

Funding bid has been submitted to support the new friendship club.

To review renewal of PRS Licence.

Payments were checked, agreed and authorised. Bank statements checked and approved. Petty cash expenditure checked, agreed and authorised.
