    Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday 7th February 2025 at 10.00 am in the Community Hall, St Michael’s Lane,  

    Wainfleet St Mary PE24 4HB.

  These are draft minutes until approved at the next Committee meeting on Friday March 7th @ 10.00am.

1. Members Present:

Jan Ward (JW) (Chair), Cllr M Rust Vice Chair (MR), Cllr PA Proctor, (PG), Cllr C Alexander, (CA), Cllr Trev Ward (TW), Committee Member Carol Wright (CW); Mrs S Kettleborough (Invited Member of public) Clerk/Note Taker – Mrs M Clarke.

Public - Chair JW introduced Mrs Sandra Kettleborough who has offered her help and input and ideas to make a successful VE Day – Mrs SK was very warmly welcomed.

Mrs S Smith from Lincs YMCA – introduced by Chair to present the work that has been done from the data collected by the Committee and Council and YMCA staff.                                                  

2. Apologies

    Apologies were received and accepted by all members                                                  

3. Declarations of Interest              

     No interests were registered.                                                               

4. Minutes of the Meeting held Monday January 7th 2025

The minutes of the meeting held Monday 10th January 2025 were read and agreed as a true record– proposed by Cllr TW and Seconded by Cllr MR – all resolved to approve.

5. Presentation from Mrs S Smith Lincs YMCA reference Teams Survey of WSM residents.

Mrs Smith was introduced and warmly welcomed to the meeting with thanks for her input and assistance.

A slide display reporting on the data obtained through the Survey carried out over a period of 3 months to ascertain exactly what the residents of WSM would like to see happening in the Community. These slides are now with the Clerk and can be shared with WSM Parish Council and individual Councillors to support future plans and funding/bid writing.

The data was very comprehensive and will permit both the Hall Committee and the Council to provide the community with relevant events and information.

An active discussion followed on events that can be considered for this year along with the benefits of registering the Hall with the YMCA hall central register.

Chair JW thanked Mrs Smith for a very informative and helpful report.

Wainfleet St Mary Community Hall – Clerk’s report –February 7th 2025

The Friendship Club continues to meet every 2nd and 4th Wednesday

The Digi Club had their last meeting Monday 3rd Feb- funding is no longer forthcoming.

No further contact from Anglian Water re monitoring of the meter.

Boiler has been serviced – for a lower cost than in previous years.

Gas has been ordered and delivered.

Moles appear to be retreating.

Walnut Care and Young Farmers have continued to book the Hall.

Review of hall hire costs

Discussion and agreement to amend to Summer Hire of £8.00 (May to September  and a winter hire charge of £10.00 (October to April) on all new booking dates from May 2025.

The hire/use of the marquee will be by negotiation dependant on the hire period and the context of the hire.

Proposed Cllr CA, Seconded Cllr AP – All in favour to approve and resolve.

6. Events Planning;

VE Day Thursday 8th May

Beacon – in hand Cllr MR has arranged.

Marquee to be left as dismantled.

Village Tea Party – 5pm – 7pm to include all families in both WSM and All Saints – free to attend.

Themed Music and screen to display iconic photos of VE Day

Bunting to be created of Winston Churchill and similar – corner for children’s activities

Followed by Beacon lighting and the tribute at 9.30 – To be read by both WASTC and WSM

WASTC have confirmed their support and will assist with hands on as required/requested.

Tommy and other Forces silhouettes to be created/purchased – Cllr MR will follow up with RBL - Cllr IH offered to fabricate at a cost of up to approx £100 per silhouette if required.

No bar – own drinks can be brought.

Large teapot to be created to indicate location – Cllr IH will produce with Cllr CA at a cost of approx £50.00.

Memorial stone to be created (as per D Day) for VE day (and also VJ Day in August with a memorial service to mark) Cllr CA and Cllr IH will create both flag stones.

Appropriate flags to be purchased.

Lamp of Peace to be purchased – clerk to arrange.

Promote with posters/flyers/social media and web

Village Show – Sunday 31st August

Schedule with new classes has been drawn up by Chair and shared round – all in agreement exactly right. Rosettes to be sourced.

WASTC have confirmed loan of gazebos and the sharing of a stall to promote both councils.

Lives, Bouncy castle and Loos are all booked. Clerk to contact Huskies.

Gavin as M of C contacted – confirmed as attending

Dog Show – liaise with organisers/promoters – in process of discussion

Classic cars – Cllr MR

Parking responsibilities etc to be agreed at a later date.

Photo competition already running.

Foreword to be completed by Cllr CA

Chair will speak with Mr J Seymour re vintage games for raising of funds for the Hall as requested by the community.

Marquee – Erection and repairs

Chair to liaise with Wells for date of setting up and assessing damage and repairs
