Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday 6th June 2025 at 2.00 pm in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting on Thursday 26th June @ 10.00am.
1. Members Present:
Jan Ward (JW - Chair), Cllr M Rust (Vice Chair - MR), Cllr Trev Ward (TW), Committee Member C Wright (CW); Committee member D Kettleborough, (DK), Committee Member W Hatchman (WH), Mrs S Kettleborough (Volunteer) Clerk/Note Taker – Mrs M Clarke.
2. Apologies - Cllr PA Proctor, Cllr P Garrard, Cllr M Rendall and Cllr C Alexander
Apologies were received and accepted by all members
3. Declarations of Interest - Cllr MR declared an interest (non-prejudicial) in item 6 – RBL Attendance - forthcoming plans for VJ Day
4. Minutes of the Annual Committee Meeting held Friday 16th May 2025
The minutes of the annual hall committee meeting held Friday 16th May 2025 were read and agreed as a true record – proposed by Cllr TW and Seconded by Cllr MR– all resolved to approve.
5.Clerk and Finance report.
Clerks report - Young Farmers continue to meet – request to use the Hall field for Rounders – Tuesday July 8th
Saturday June 14th reserved for Sue S – subject to weather.
Saturday 12th July - Hall and Marquee booked for Christine and Jodie
Walnut Care continue to book on regular basis – invoice settled for £105.00 due to the end of May
British Gas have submitted the date for replacement – Pat is in control – Thursday 12th June 12.00 – 2.00pm time slot
Moles have been caught....and field is now being used for grazing.
£50.00 donation received from WSM Poor Lands
£283.06 (inclusive of £150.00 float for June lunch) Lunch club funds from 21st May
£273.60 donation from The Angel
Show schedule is printed and in the process of distribution – Vicarage Lane, Wainfleet Bank, Bethlem Crescent, Tindall Way and Low Road.....all confirmed as done
Wooden shields come in at around £9 - £10 with engraving – centre would be a star – can look at other companies.
Vinyl stickers for banners ordered – should only be a couple of days
100 tent pegs for the marquee on their way – should be here for Friday – Received and marquee now pegged down thank you Trev...
Quote rec’d for 500 flyers and amended poster for Show - £94 for 500, £105 for 1000
TEN licence is in process of completion
Confirmed Fun Dog Show is covered by current insurance.
Poster amended to include classic cars and Dog show.

6. Events Planning:
VJ Day - August 15th 2025
The RBL, Bugler and Standard Bearer will be in attendance.
2 Plaques commemorating VE Day and VJ Day and wreaths (inclusive of a wreath dedicated to the animals of the wars) to be placed with a service at 2pm on the 15th.
Service for 2pm with refreshments afterwards in the Hall.
Clerk to extend formal invitation to Wainfleet All Saints Town Council Mayor/Vice Chair to attend in a formal capacity.
In house posters to be created and shared round/social media and Web promotions by clerk
Lunch Club – Date is Wednesday June 18th – 49 booked currently. No lunch in July – resumed in August.
Suggestion to post welcome pack or similar to new residents to inform of events in the Parish – clerk will explore.
Village Show – Sunday 31st August –
Chair JW updated the Village Show Check list to include:
Raffle prizes - Cash for first 3 winners - agreed to approach butcher and chip shop; Prosecco from Bookers, vouchers from Boston Bowls, bottle of Scotch donated by Cllr TW – (tickets will not be held)
Tombola – any addl items appreciated – straw bale, sack wild bird food and chicken pellets donated by Cllr WH.
Fun Dog Show – to work with Cllr CA in approaching an organiser.
Invitation for Opening the show to be sent out – clerk will arrange.
Fund raising stalls – discussed and listed on check list
Agreed to commission 1000 flyers as per amended poster for all to distribute plus 10 x A4 posters – Proposed Cm WH, Seconded CM DK – all in agreement.
Banner vinyl over stickers to be collected with flyers next week – clerk will order/collect.
Agreed to contact East Keal Sound Systems to ask for advice on optimum use and placing of speakers – clerk will contact.
9. Correspondence –
Nothing that isn’t already covered in the Agenda.
10. Agenda items for June 26th meeting – to be advised to the Clerk and received by Monday 23rd June
