Minutes of the Annual Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday 8th May 2026 at 10.00am in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting scheduled for June 5th 2026 at 10.00am.

3. Election of Chair Mrs JW nominated for the Chair – Proposer MR, Seconded EB
Unanimous vote to resolve to accept Cllr JW as Chair for the next year.
4. Acceptance of Office of Chair
Acceptance of Office Declaration signed, witnessed, and recorded.
5. Election of Vice Chair
CM W Hatchman nominated for the Vice Chair – Proposer Cllr MR, Seconded Cllr TW.
Unanimous vote to resolve to accept CM B Hatchman as Vice Chair.
6. Acceptance of Office Vice Chair
Acceptance of Office Declaration signed, witnessed, and recorded.
7. Apologies for Absence
Cllr P Garrard, Cllr C Alexander
8. Declarations of Interest
There were no declarations declare- Cllr TW abstained from voting with reference to the proposal of Cllr J Ward for Chair.
9. Draft Minutes the General Meeting April 10th and Annual Community Hall Minutes 2025
Acceptance and Resolution to accept the minutes as a true record of the Committee meeting held Friday 10th April. Proposed Cllr TW, Seconded CM EB; Committee approved unanimously to resolve and accept.
The Annual Minutes for May 2025 had been agreed and approved in June 2025 and were available purely for reference and a reminder.
10. To confirm and invite formal Committee Members and Volunteers
Formal Committee members were agreed to continue:
Cllr JW, Cllr TW, Cllr MR, Cllr CA, Cllr PG CM EB, CM CW CM BH CM DK and CM SK
Declarations completed and signed.
11. Clerk’s Report
Design for the Tea Tent received – approval or not to be voted on
New de-fib has been received and is now installed and registered with The Circuit
Community PayBack scheme Project – 2nd visit this week – Painting/gardening duties coming along well.
Container – Bid for funding has been submitted as WSM Council for £3000
Correspondence received from Mr Chamberlain with regard to the field and use
Picnic in the Park re-scheduled to May 31st following postponement due to adverse weather forecast
12. Finance and Bank Accounts
The Annual figures are under the banner of the Council and included in the AGAR to be submitted for approval at the Council meeting on Monday 11th May 2026.
A further £10.00 has been donated to support the vegetable entries in the Village Show - Cllr MR has thanked the gentleman concerned. The report for April 2026 is detailed below:

13 Event Planning.
May Day – the event has been postponed to May 31st following an adverse forecast of 100% rain
Village Show – the task list was worked through and updated – a copy is available on request for members from CM DK.
Lunch Club – Chair JW gave a full overview of the recent lunch and monies raised.
14. De-fib update – A new defib has been purchased and has been installed on the Hall external wall by Cllr PG. Registered on the Circuit and up and running.
15. Community PayBack Scheme. Their second visit was Tuesday last and painting and hall/field fence maintenance continued. The work done is noticeable.
16. Storage – The bid for the funding of the Container has been completed and submitted May 1st – decision in June.
17. Proposal to adopt a formal naming of the field – Always known to the Council as Mr Chamberlain’s field but not to the wider community a proposal had been received to formally name with signage as Mackrill’s Field subject to discussion and agreement with Mr Chamberlain. Proposed Cllr TW, Seconded Cllr MR – All agreed to approve and resolve and take to the Council Meeting Monday 11th May 2026.
18. To Agree the dates for Committee Meetings for the Year.
It was agreed that future meetings would continue to be held monthly on the first Friday of each month with the next meeting being June 5th at 10.00am.
19.Correspondence – no correspondence that has not already been addressed in the meeting.
20. Items for the June Agenda.
Chair JW asked all members if anyone had any contributions to make – and for any items to be included on the June Agenda to be sent to the Clerk before the meetings.
V/C BH asked for the agenda to include a review of the PITP event.
There being no further business, Chair Cllr JW thanked everyone for their attendance and input and closed the meeting at 11.47.
