Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday January 9th at 10.00 am in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting on Friday February 6th 2026 @ 10.00am.
Public – No members of the public were in attendance
1. Members Present:
Jan Ward (JW - Chair), Cllr M Rust (Vice Chair - MR), Cllr Trev Ward (TW), Cllr A Proctor (PAP),Committee Member Elaine Baker (EB); Committee Member D Kettleborough, (DK), Committee Member Bill Hatchman; (BH) Committee Member S Kettleborough (SK), Clerk/Note Taker – Mrs M Clarke.
2. Apologies - Cllr M Rendall; Cllr P Garrard; Cllr C Alexander; CM C Wright.
Apologies were received and accepted.
3. Declarations of Interest and Dispensation requests – No declarations/dispensations were declared.
4. Minutes of the Committee Meeting held Friday December 5th 2025
The minutes of the Hall Committee meeting held Friday 5th December 2025 were read and agreed as a true record – proposed by Cllr MR and Seconded by Cllr TW – all resolved to approve. Chair JW signed the minutes.
5. Events Planning
Prior to discussion it was suggested and agreed Chair and Clerk would draft Thank you letters to all who had supported the events and made them possible – all in agreement.
Lunch Club – next date is Jan 21st – 37 sit downs plus 14 take aways – Cllr ASP and Chair have all arrangements in hand.
Tea with Santa – 3 families failed to arrive or notify unable to attend which is disappointing as the tables could have been booked out to other families. The addl Santa boxes donated by WASTC were very well received and Committee agreed a donation of £2.00 per box to cover All Saints cost should be offered. A suggestion to slightly change the offer to Breakfast with Santa was discussed and agreed – 10.00 start – date to be agreed as 6th December so as not to clash with other events. The Poor Lands Charity will provide a donation towards the cost for WSM residents. Proposed CM DK and Seconded CM BH – all members approved.
Christmas Lunch at Woodthorpe – Formal thanks to Cllr MR for supporting and for being MC at the event – the auction and raffle raised £150.00 – agreed an appreciation of £25 for the Woodthorpe staff to be offered. Agreement to book again for this year – date proposed as the 9th December so as not to clash with The Chapel. Clerk to book with Woodthorpe. The Poor Lands Charity will offer a donation to the costs for WSM residents. Proposed CM DK and seconded Cllr TW – all members approved.
Village Show 2026 – Sunday 30th August 2026
The leads on the show (CM BH and CM DK) covered the task list and updated as each item is managed. Copies for members/councillors can be obtained if required by contacting either the clerk or CM DK. Marquee repairs tba arranged after an inspection Thursday 15th – erection agreed for some time in April. Chair JW will contact for a date. Promotion for sunflowers and gardens to start – newsletter will include. Clerk to start looking at stall holders and bookings.
The Carol Service– well supported and all in fine voice – suggestion to have the light switch on after the Carol Service as the Santa event will now be in the morning. A further set of lights requested for the tree – Proposed Cllr TW, Seconded CM BH – all approved to purchase and to hold the Service again in 2026 following the Lunch at Woodthorpe.
May Day Event – Picnic in the Park 2026 – The idea of a joint event with WASTC and possibly Wainfleet Mums and Platform was put forward to be held on the Hall field and in the marquee and hall – suggestions and ideas considered and supported – Proposed (Cllr TW)and Seconded (CM EB) to take forward to a small group to plan and schedule a working party meeting agreed for 11.00 Thursday 15th January – Clerk to advise WASTC, Platform and Wainfleet Mums with an invitation to be be part of the unified group. All members agreed and approved.
6. Solar Panels Project. CM DK has made contact for a 3rd quote. Confirmation received planning permission is not required but prior approval from ELDC is. Contact has also been made with a Village Hall who has had solar panels installed through a grant and clerk is in contact to assess the impact and the process of application. Also other Clerks to assess the benefit of panels and ceramic cheaters.
6. Clerk and Finance Reports.
Clerk’s Report January 9th 2026 -
Friendship Group – Funding bid for £500 is approved and the funds received into the bank. The Coop have approved the request for £250 and cheque available for collection this month.
It would appear the bid for a new tea tent has not been approved – although formal advice not yet received. I’d like to think they may still consider it in the next round of monies East Lindsey will release – so have not chased.
Some favourable comments received from other Hall groups who have gone down the Solar panel route – confirmation approval is required from ELDC – but not planning permission.
Young Farmers have submitted their dates to June – and Walnut Care continue to book.
Nothing further from ELIF as to when the funds from the grant approval will be with us.

Report on Grant Funding.
Submission made to ELIF on previous funding which has been received and confirmed as within the criteria. Advice on how the fund will be administered is pending.
East Coast Community Funding for the Solar Panels – Council will require to be registered. Air Source Heat pumps qualify for £7500 direct funding providing the Council can meet the 3 requirements. Clerk to establish if the £7500 through the Boiler Upgrade scheme (.gov.uk site has details) can be considered as match funding.
Also in contact with Heydour Village Hall who have had a similar grant and the process.
Clerk has collected the £250.00 cheque from the Co-op for the Friendship Club who now start the year with £750.00 of funding to grow and prosper.
7. Correspondence – No correspondence other than promotional leaflets.
8. Date of next meeting – Friday February 5th 2026 at 10.00am.
