Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took place on Friday November 8th 2024,
at 10.00am in the Community Hall, St Michael’s Lane, Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting on the 7th December at 9.00am.
1. Members Present:

3. Declarations of Interest
No interests were registered.
4. Minutes of the Meeting held Friday November 8th 2024
The minutes of the meeting held Friday November 8th were read and agreed as a true record– proposed by Cllr AP and Seconded by TW – all resolved to approve.
5. Clerk and Finance report
Clerk’s report – November 2024
The friendship group continues to meet up every 2nd and 4th Wednesday – thanks to Dr C for opening up.
New flags for the hall have been received by Mick.
Further grant applied for by the Funding buddies for the Christmas lunch for the over 65 Lunch Club has been successful – advised November 1st.
Deposit of £285 for 57 lunches has been paid.
Menu choices printed and ready for completion at the next Lunch Club
Outer Dowsing have approved the funding of raised beds/planters/bulbs for the Orchard and Play Area – monies received October 31st.
Calendars printed, collected and ready for sale
LALC news and monthly training bulletin circulated – open to community hall volunteers if wished. on the Council Agenda
Anglian Water have inspected the leak/water meter and confirm meter is working correctly – to be monitored.
NALC bulletin confirms social media post remote working to be consulted on.
Vote of thanks to the ladies of the knitting needle for all their efforts – to Pat, Trev and Mick for the poppies and to Pat for the flag.
All newsletters and Tea for Santa invites gone out.
NFU Young Farmers have confirmed their interest in hiring the hall – and interest registered for holding an auction here....

6. Events Planning
Tea with Santa – Invites have been posted. Posters in Notice Boards – promoted on FB from 17th November.
Task List updated – agreement to purchase 6 window decorations (Cllr AP) and non-stick fixings (Cllr CA) and additional 12 sets of decorations –
Proposed Cllr CA/Seconded Cllr TW – all in agreement to approve.
Confirmation tree is ordered with delivery for Monday 25th November with hall decorated same day.
Lunch Club at Woodthorpe – deposit has been paid from the grant received Nov 1st. Menu choices printed for completion at Lunch Club 20th November. Request for same support as in 2023 with a table reserved for the raffle and Hall Committee to sit as one. All new members of the Lunch Club to receive a free lunch with a request to donate a raffle prize – raffle organised by Volunteer Margaret – with thanks. Additional purchase of polo shirt to be arranged.
VE Day – Event is registered – budget has been proposed and awaiting approval from Council. Subject to confirmation proposal to purchase Lamp of Peace (for future use on remembrance Sundays) and “Tommy silhouettes (also for use in future years) – proposed Cllr Ap and seconded Cllr TW – all resolved to approve. Chair JW following up on ceilidh caller – availability and cost.
The Village Show – Budget has been proposed – awaiting confirmation. Task List as in previous years will be used and formulated from the New Year.
Outer Dowsing supported Planting in the Orchard and Play Area – Confirmation the grant has been received and purchase of snowdrops and some shrubs has been made. Agreement to meet Saturday at 1pm to start the planting. Planters are ordered – cheque authorised for purchase.
7. Film Nights – Children’s Christmas Film - led by Cllr CB – promoted on FB for December 20th at 4pm. Liaison with Hall Committee and provision of drinks and popcorn.
CRB/DBS checks – all in agreement to have a staggered application process – clerk will check costs and time of process.
8. Correspondence – Enquiry from Young Farmers to hold their meetings commencing Tuesday 19th November
Enquiry to hold a weekly auction in the Hall – to be referred to the Council for approval.
9. Agenda items for December – to be advised to the Clerk and received by Friday 29th November.
10. Date of Next Meeting – Saturday 7th December 9.00 followed by setting up of the hall for Tea with Santa.
The Chair JW thanked everyone for attending and their input and closed the meeting at 11.45am
