Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took
place on Monday 19th February 2024, at 3.30pm in the Community Hall, St Michael’s Lane,
Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting on the 18th March 2024.

4. Minutes of the Meeting held Monday 4th December 2023
The minutes were read and agreed –Proposed Committee member TW and Seconded by Cllr AP - All resolved to approve.

Wainfleet St Mary Community Hall – Clerk’s report
February 19th 2024
The Hall Chair now has a dedicated email address and phone number (agenda item 11)
The remaining 12 calendars are with Hair FX for prospective buyers.
The Community Hall Page (plus the Council web and FB page have been updated with the most “liked” photo of January)
A joint Working Group has been formed to take the D Day celebrations forward – 1st meeting was Friday 5pm January 19th in the All-Saints Offices.
The next meeting is Friday 19th February at 2pm in WSM Community Hall (incorporating the Village show which will follow on after the joint meeting)
Notes relating to the Village Show and D Day are available on request.
A Working Group has been formed to look at the storage alterations and the window upgrade in the kitchen – notes are available on request.
The Projector and Screen have a booked fitting date of February 16th – Cllr CA and Clerk will be present.
Clerk following up on licenses required for film shows –
There are 2 that may be required.
One is the license to show the film depending on who we get it from....
The other is a premises licence which is needed if a profit/surplus is being planned. If not – just break-even costs, then one is not required.
Refreshments – if sold – do not constitute part of the profit planned.

The films shown in the Chapel are arranged by their Louth Office – contact is Catherine – 01507 354626. (I have not yet made any contact)
Hall Hire:
The Hall is booked for the Police Commissioner Elections in May –
£7.50 per hour from 6.00am to 10.00pm.
Walnut Care continue to book for their training as required.

6. Woodthorpe Christmas trip and feedback.
The trip was enjoyed by the majority with just a few comments on the seating and the cost (which had been grant funded and thus did not impact on Lunch Club finances). Overall, it was a very successful day out that was borne out by comments on the day on the quality of the food and the customer service.
7. Working Group - The Village Show 2024.
Task List updated and Notes recorded. Recommendations made to the Hall Committee for approval.
8. Working Group – D Day Celebrations WASTC and WSM
Chair will produce a detailed Task List for WASTC and update from the joint group meetings – notes of the meetings recorded and available on request. Recommendations will be made to the Hall Committee for approval.
9. Working Group – Storage and Improvements/repairs
Clerk to follow up on an estimate of costs from local trades and plumber to enable funding to be explored.
10. Installation of Projector and Screen
Installed by Keystone Friday 16th and functioning well – time out to be explored.
11. New contact details for Chair. Chair has a dedicated phone number 07749 012250 and email address of wsmcomhall@btinternet.com. When the Chair is leave the Vice Chair (AM) will manage and oversee.
12. Correspondence. Vice Chair AM offered apologies from Father Aiden for not being able to attend with regard to tea with Santa. Chair expressed appreciation and understanding of the busy position he holds.
