Minutes of the Meeting of the Wainfleet St Mary Community Hall Committee which took
place on Friday 22nd March 2024, at 3.00pm in the Community Hall, St Michael’s Lane,
Wainfleet St Mary PE24 4HB.
These are draft minutes until approved at the next Committee meeting on Friday 19th April 2024.
Public Session – No members of the public
1. Members Present:

No interests were registered.
4. Minutes of the Meeting held Monday 11th March 2023
The minutes were read and agreed –Proposed Committee member TW and Seconded by Cllr AP.
All resolved to approve.
5. Clerk and Finance Report.
March 22nd 2024.
The remaining 3/4 calendars are still with hair FX but have been reduced to be able to sell the last few.
The Community Hall Page (plus the Council web and FB page) have been updated with the most “liked” photo of March.
The quotes for the storage alterations have been received to allow the storage project to move forward.
Walnut Care continue to book for their training as required.
TENS licences have been completed and receipted – Police and Environmental Depts advised and receipt
has been confirmed.
Both Working Groups have met on the 22nd and taken the events forward – notes will be available shortly.
The Lunch Club met on Wednesday last and as always a great success.
The oven was scheduled for repair on the 20th - however the engineer did not have the correct parts so
a further repair date has to be set.
Finance report –March 2024
The non-domestic rates demand for 2024/2025 for the Hall in the sum of £873.25 has been received.
Transitional and Small Business rate relief provides a credit of £873.25 leaving a zero liability.
Lunch Club surplus Wednesday 13th March £250.84 with £84 coming from the raffle –
£150 will be retained as the float for April.
Purchases of cutlery and baking trays amounted to £101.98.
It had been suggested the date for the Lunch Club be formalised as the 3rd Wednesday of each month –

Expenditure - £25.00 debit card for purchase of laminator and guillotine.
£42.00 for Tens Licence for D Day and The Village Show

Income - £285.55- Lunch Club (February)

Payment pending Hall Hire £17.50 – Children’s Links/Platform
Account reconciled.

Funding received.
Social Isolation Grant - £2000.
Balance remaining to be spent £420.30 – allocated to window replacement subject to full Council approval in April.
National Lottery – Awards for All (Village Show)
Balance remaining – (allocated to Screen and projector) £380.57
7. Working Group - The Village Show 2024.
Task List updated and Notes recorded. Recommendations made to the Hall Committee for approval.
8. Working Group – D Day Celebrations WASTC and WSM
Notes recorded and will be shared round with all – recommendations made to the Hall Committee for Approval.
9. Working Group – Storage and Improvements/repairs
Quotes have been received from plumber and builder.
Quotes for the replacement window units and kitchen window received – discussed and agreed to fund.
Proposed Cllr AP, Seconded Cllr PG. Committee resolved to approve and pass forward to Full Council for ratification.
9. Proposal to adopt a Charity Status for the Hall Committee
Discussion on suggestion to look at adoption of Charity Status for the Hall Committee to open up further funding opportunities.
All in agreement with Chair, Clerk and Cllr CA to investigate and report back. All in favour.
10. Offer of Loan of Marquee for the Show – collection and installation.
Chair JW and Cllr AP offered to liaise and follow up on the offer and report back to Committee.
10. Correspondence. Other than the Rates demand no correspondence.
11. Date of Next Meeting:
Working Group meeting for D Day and Village Show – Friday 19th April 2024 at 10.00am
Hall Committee to follow on from the WG Meetings Friday 19th April 2024.
